# LPG orders, refills and deliveries in Irsaal > Book an LPG refill order, book one for a later day, record a refill at the counter, and follow the day's orders and deliveries. - Product: Irsaal LPG Cylinder Delivery Software, by Irsaal Software - Section: Daily work - Page: https://irsaalsystems.com/help/lpg-orders-and-deliveries - Last updated: 2026-09-25 In Irsaal LPG Cylinder Delivery Software, an **order** is a refill still to be delivered, and a **delivery** is one that has happened. Orders are booked on **Operations → Orders → New Order** or with **Book for a Later Day**, or are made by customers' **Subscriptions**, and they reach the rider's app at once. A delivery is recorded by the rider in the app, or in the office on **Refill / Delivery**. Either way the cylinders move, the invoice is written and anything unpaid goes on the customer's balance. ## How do I book an LPG order? 1. Open **Orders** and press **New Order**. 2. Choose the **Customer**, the **Order Date** and **Assign Rider (who delivers this)**. The screen shows the customer's **Cylinders Held**, what their **Deposit Covers**, their **Security Wallet** and any **Previous Due**. 3. Under **What is the customer ordering?**, choose: - **LPG Cylinders**: enter **How many LPG cylinders?**. **Security Payment (auto, editable)** and **Refill Payment (auto, editable)** fill in from the customer's rate. Tick **Security Free** to lend cylinders without a deposit. - **Products**: regulators, hoses and other LPG accessories. Press **Add Product** for each line. 4. Under **Billing & Payment**, fill in any **Tax Rate (%)** and **Freight (Rs.)**. Choose the **Payment Method** (**Cash**, **Online / Card** or **Credit (pay later)**), **Deposit Into** and the **Paid Amount**. 5. Tick **Delivery only — the rider just hands it over** if the office has done everything. The rider then just taps **Mark Delivered**. 6. Press **Save Order & Preview Invoice**. The rider is notified at once. ## How do I book a refill for a later day? On **Refill / Delivery**, press **Book for a Later Day**: 1. Choose the **Delivery day** (**Today**, **Tomorrow**, **In 2 days**) and the **Customer**. 2. Under **How is it billed?**, choose one: - **Order only — rider bills at the door**: the rider counts the empties and bills there. - **Priced now**: enter **LPG cylinders (if known)**, **Security due**, **Refill charge**, **Paid now**, the **Payment method** and **Into account**. 3. Pick the **Rider** and add a **Note for the rider** if needed. 4. Press **Book it**. The booking appears in the rider's **Schedule** under that day. ## How do I record a refill in the office? For a walk-in customer, a phone order delivered without the app, or a round recorded afterwards: 1. On **Refill / Delivery**, pick **Against pending order** (or **— None (walk-in refill) —**) and the **Customer**. 2. Choose **Delivered By (Rider)**, or record it at the counter with no rider. 3. Under **Cylinder Movement**, enter: - **LPG Cylinders Delivered (refilled given)** - **Empty Collected (taken back)**. It matches the delivered number unless you change it. - **Damaged Returned**. The penalty is taken from the customer's security wallet. 4. Under **Bill**, choose the **Payment Method** and enter the **Amount Collected**. 5. Press **Record Refill / Delivery**. A rider's cash and empties stay on their name until their day is approved in **Rider Ledger**. A counter sale's money and stock land at once. ## How do standing orders (subscriptions) work? On **Subscriptions**, fill in **Add / Edit Subscription**: 1. Choose the **Customer**. 2. Choose the **Frequency**: **Daily**, **Weekly**, **Alternate days** or **Custom days**, with the **Days** for weekly and custom. 3. Enter **LPG cylinders / delivery** and the **Start date**. 4. Press **Save Subscription**. The orders are booked when someone presses **Generate Today's Orders** or **Generate Tomorrow's Orders** on **Subscriptions** (or on the **Dashboard**, or **Generate** on **Orders**). On an LPG account nothing books them overnight by itself. Generating twice never doubles an order. For customers who settle weekly or monthly, add a **Payment plan** and press **Collect** when it falls due. The order appears on the rider's **Route** tab in the Irsaal Rider app. At the door they enter **Cylinders Delivered (full)**, **Empty Collected** and **Damaged Returned**, take the payment as **Cash**, **Online** or **Credit**, and press **Save Refill & Print Invoice** (or **Confirm Delivery** for an order already paid). The invoice prints on a Bluetooth printer or is shared. A rider can also **Skip** a booked stop with a reason. For an order that has already been billed, the software reverses the original deposit, stock and receivable, and posts them again from what you save. The order keeps its number, and **Update Order & Reissue Invoice** issues its invoice again. **Skip** on an order row marks an order as not needed. ## Where do I follow the day's work? - **Orders**: one day at a time (change it with the **Date** filter), with each order's **Order #**, **Customer**, **Route / Rider**, **Items**, **Total**, **Due**, who created and delivered it, and its status (pending, delivered, skipped, cancelled). Filter by **Status**, **Route** or **Created by role**. - **Deliveries**: what was actually delivered, by date and rider. **View** opens the cylinder movement and invoice breakdown. - **Finance → Invoices**: every invoice, with **Thermal** and **Print / Reprint**. ## Frequently asked questions ### How do I create an LPG refill order in Irsaal?
