# Irsaal LPG software setup checklist for a gas agency

Setting up Irsaal LPG Cylinder Delivery Software takes about an hour. A new LPG account opens on **Set up your account**: "Four questions, then six guided jobs. Ten minutes and you are trading." Answer the four screens (your business, your prices, the modules you run), then do the six jobs in order:

1. **Add your accounts**
2. **Add your areas and routes**
3. **Enter the LPG cylinders you already own**
4. **Add your riders**
5. **Add your customers**
6. **Open your LPG storefront**

Each job ticks itself off once the work is saved, and a guided tour points at each screen as you go.

## What do the setup screens ask?

1. **Your business**:
   - **Business name** (required; it prints on every invoice)
   - **Phone**, **Email**, **City**
   - **NTN / tax number**, **Address**
   - **Logo**, which goes on invoices, receipts and the rider app
   - **Invoice footer**
2. **What you charge**:
   - **Currency symbol**
   - **Price of one LPG cylinder refill**. This is the standard rate; a customer can be given their own price later.
   - **Deposit per cylinder**, the refundable security for each cylinder a customer keeps
   - **Warn me when stock drops below**
   - **Take the deposit at the door**. Leave this off unless riders really collect deposits. With it off, deposits are settled in the office, and the rider is still told when a customer holds more cylinders than their deposit covers.
3. **What you run**: switch off the modules your business does not use. Nothing is deleted, and it can be changed under **Settings → Modules**.
4. **Ready**: the six jobs below.

**Skip setup** goes straight to the dashboard; everything can be set later under **Settings**.

## What are the six jobs, in order?

1. **Add your accounts.** Open **Accounts → Add Account**. Make a **Cash** account for the office drawer and a **Bank** account for each bank you take transfers into, each with today's **Opening Balance**. Leave **Rider Cash in Hand** alone; the software uses it for money still out with riders.
2. **Add your areas and routes.** Open **Areas & Routes**, add an **Area** (the town or sector), then a **Route** inside it, named the way your riders say it. One route per round.
3. **Enter the LPG cylinders you already own.** Open **LPG Cylinders** and press **Manual Adjust**. In **Manual Adjustment**, pick a **State**, type the count in **Delta (+ / −)**, give the **Reason** "Opening stock", and press **Apply**, one state at a time:
   - **Filled in Warehouse**: full cylinders in the store and on the vans, because every delivery takes its cylinders from this count.
   - **Empty in Warehouse**: empties waiting for the plant.
   - **With Riders (uncleared)**: only empties riders are carrying and have not handed in.

   **Do not add cylinders With Customers here.** Those are typed on each customer as **Cylinders already held** in job 5 and add themselves to the count; adding them here too would count them twice.
4. **Add your riders.** Open **System → Riders → Add Rider**. Enter the **Name**, **Phone**, **Email (app login)** (a username, not necessarily a real inbox) and a **Password** of at least 6 characters, then **Save Rider**. Set each route's **Assigned Rider** on **Areas & Routes**.
5. **Add your customers.** Open **Customers → Add Customer**. Enter the **Name**, **Type**, **Route**, **Address** and **Cylinder Holding Limit**, plus a **Rate card** for customers on another cylinder size. For someone you already serve, use the **Existing customer** tab and fill in the **Opening Balances**:
   - **Opening balance owed**
   - **Security deposit already paid**
   - **Cylinders already held**

   Many customers at once come in through **System → Import Data**.
6. **Open your LPG storefront.** Open **Storefront → Storefront Settings** and check that **Public LPG storefront is open** is on. Then:
   - Set the **Store Name**, **Store Phone**, **Default Delivery Charge** and the payments you accept.
   - Add each city and delivery area, linking every area to an **Internal Route** so that new orders reach the right rider.
   - Press **Open Store** to check your prices, and place one test order. It appears under **Online Orders**.

## What should I set up after that?

- **A rate for each cylinder size.** Under **Finance → Refill / Security Payments**, press **Add Rate** for each size you sell, such as a 45.4 kg commercial cylinder. Enter its **Refill per Cylinder** and **Security per Cylinder**, and pick it on the customers who take that size. ## Frequently asked questions

### How do I set up Irsaal LPG software for my gas agency?

Answer the four setup screens (business details, refill price and cylinder deposit, modules), then do the six jobs in order: accounts, areas and routes, opening cylinder stock, riders, customers and the storefront.

### Where do I enter the cylinders I already have?

Full and empty cylinders in your store and on the vans go in once on **LPG Cylinders → Manual Adjust**. Cylinders at customers' homes and shops go on each customer as **Cylinders already held**, not in Manual Adjust as well.

### Can I skip the storefront job?

Yes. If you do not sell online, switch the storefront off (or turn off **Store Front & Online Orders** under **Settings → Modules**), and the job no longer applies.

### How do I set a different price for commercial cylinders?

Add a rate card under **Finance → Refill / Security Payments** with that cylinder's refill price and deposit, and choose it on each commercial customer's form.
