Irsaal LPG Cylinder Delivery Software can send your customers WhatsApp messages from your own WhatsApp Business number: when a delivery is completed, when an order is created or a refill booked, and when a payment is received. Connect the number once, from the profile menu (your name, top right) → **WhatsApp**, with **Connect with Meta**, verify it, then choose which alerts to send and how they are worded. **System → Alerts** keeps a log of every message. Messages come out of a monthly message allowance that is bought separately from the software plan.

Note: the LPG **WhatsApp** page is not identical to the water one. It has no **Message templates** page and no "This month" box, and the wording of each alert is edited right on the page.

## How do I connect my WhatsApp number?

1. Open the profile menu (your name, top right) and choose **WhatsApp**. The page is headed **WhatsApp**, with a **Settings** button back to the settings, and opens on **Your number**.
2. Press **Connect with Meta** ("Connect your WhatsApp Business number") and follow Meta's steps. You will need a Facebook Business account and a phone number that is not already on WhatsApp. Irsaal never sees your Facebook password: Meta hands back only permission to send for you.
3. The number then shows **Waiting for the code** or **Verification needed**. Under **Verify messaging**, send "Hi" to your business number from a different WhatsApp number you can access, enter that other number under **Receiving WhatsApp number**, press **Send test code** (within 24 hours), then type the **6-digit code** you receive and press **Verify**. This confirms your business can send messages.
4. When the number shows **Connected**, it lists the **Number**, the **Business name on WhatsApp**, the **Quality** rating and the **Daily limit**. Type a WhatsApp number in the box and press **Send a test** to check that a message arrives.

If the page says "WhatsApp is not switched on for this platform yet", the Meta setup on the platform is not finished: contact Irsaal support at [WhatsApp +92 345 6703860](https://wa.me/923456703860) or [info@irsaalsystems.com](mailto:info@irsaalsystems.com). **Start again with Meta, or use a different number** changes the number. **Disconnect** ("Disconnect WhatsApp? Alerts will stop immediately.") stops every alert at once. If Meta withdraws the connection, the page says **Not connected** ("This number is no longer connected, so no alerts are being sent. Your message history is kept."); press **Reconnect with Meta**.

## How do I choose which alerts customers get?

Under **Which alerts to send** ("Every one is off until you switch it on"):

1. Tick **Send WhatsApp alerts to my customers**. It is greyed out until a number is connected and verified.
2. Tick the alerts you want:
   - **Delivery completed**: when a rider marks a delivery done, with the invoice total and what is still owed.
   - **Order created**: when an order is raised against a customer, before it goes on a run sheet.
   - **Refill order**: when a refill is booked for a customer, so they know it is coming.
   - **Order booking**: when an order booker takes a booking over the phone or at the counter.
   - **Payment received**: when a payment is added to a customer's ledger, the receipt they always ask for.
3. Reword any of them in the box under it. It holds up to 900 characters and can use the placeholders `{customer}`, `{company}`, `{amount}`, `{balance}`, `{invoice}`, `{order}`, `{cylinders}` and `{date}`.
4. Press **Save alerts**.

Out of the box the wording reads, for example: "Hi {customer}, your delivery from {company} is done. Invoice {invoice}: Rs. {amount}. Outstanding: Rs. {balance}. Thank you!" and "Hi {customer}, your LPG refill order is booked with {company} for {date}. {cylinders} cylinder(s)."

**Last few messages** at the bottom shows the ten latest (who, when, which event, and the status: **Sent**, **Logged (demo mode)**, **Not sent — allowance used up**, **Failed** or **Not sent**), with **All alerts →** opening **System → Alerts**.

## How many messages can I send?

Messages are sold as a monthly allowance, separate from the software plan; see [Irsaal pricing: plans for water and LPG delivery software](https://irsaalsystems.com/help/irsaal-pricing) for the bundles on sale. The LPG WhatsApp page does not show how many you have used. When the month's allowance is gone, messages are not sent and the log shows **Not sent — allowance used up**. If Meta lowers your **Quality** rating to red ("Too many people have blocked or reported your messages"), send fewer messages, and only to customers who expect them.

## Where can I see what was sent, and what about SMS?

Open **System → Alerts**. The **Message Log** lists every message with its **Time**, **Channel**, **To**, **Event**, **Message** and **Status**, and **Send Test Alert** sends a test through **WhatsApp**, **SMS** or **Email**. If Alerts says "All channels are off", switch them on under **Settings → Notifications**.

**Settings → Notifications** has **Send delivery & payment alerts to customers** with the channels **WhatsApp** (**Cloud API token** and **Phone number ID** boxes), **SMS (Twilio)** (**Account SID**, **Auth token**, **From number**) and **Email** (the platform's mail settings), and reword-able **Message templates**: **Delivery completed**, **Payment received**, **Low security deposit** and **Test message**. Leave the provider keys blank to stay in demo mode: every message is still recorded under **Alerts**. See [Activity Log, backup restore and Alerts in Irsaal LPG software](https://irsaalsystems.com/help/lpg-backup-and-activity-log) for the Alerts page.
