**Irsaal Rider** is the Android app that milk riders use with Irsaal Milk Shop Software. A rider signs in with the email and password the office set on the **Riders** screen, allows location, and sees today's rounds: a **Morning** round and an **Evening** round, each with its list of customers. At each door the rider marks how much milk was handed over and whether the customer paid, then hands the whole round over with **Submit for approval**. The office approves it in **Rider Ledger**. A rider without the app, or without the app on the shop's plan, can do the same round in a phone browser on the web **Rider Portal**.

## Can a rider add a new customer in the Irsaal Milk software?

**Yes, in the Irsaal Rider app, but only if the shop has switched it on.** The rule is exact:

1. The administrator must tick **New Customer** under **Settings → Modules → Rider**. It is **off by default**. While it is off, the app has no **New customer** button and the server refuses the request ("Your shop has not allowed riders to add customers.").
2. The rider signs in to the **Irsaal Rider app** (2.13.0 or newer) with a rider login: a login with a rider profile made on the **Riders** screen. Any other role that has no rider profile cannot add customers from the app. The **Rider Portal** in a browser has **no** way to add a customer.
3. The shop's plan must include the **Rider mobile app**.
4. No role permission is needed beyond that: the rider's normal rider access is enough.

**What the rider enters.** **New customer** is on the round screen (when a round is open and not yet handed over) and on **My customers**. The form (titled **New customer**) asks for **Name** (required), **Phone**, **Address** and **Area**; **Door pinned where you stood** (**Pin door**, so the next round finds it); **How they pay** (**Monthly Payer**, **Weekly Payer**, **Daily Payer**); **Note for the office**; **Their milk** (which milk, **Morning**, **Evening** or **Both**, litres each time and **Price / L**); **Which days** (**Every day**, **Some weekdays**, **Every other day**); and on a round, **Handed over now** (milk from the van given to them today) and **They paid** (**Cash** or **Online**, with **Paid in full**). Buttons: **Add customer**, **Save changes**, **Remove**.

**What it becomes.** The new customer is **not a customer yet**. It waits for the office. On a round it rides with the hand-over: the milk counts as milk that went out, and the money as money the rider must hand over. When the office approves the round, the customer is created (marked **Added by :rider**), the milk they were handed is billed and their payment credited. The office may first correct anything on the entry, match it to a customer the shop already has, or keep it as a one-off sale. With **no round open** the entry is a **Sign-up only**: no milk or money can ride on it, and the office approves it on **Customers → Added by Riders** (see [Customers and subscribers in Irsaal milk shop software](https://irsaalsystems.com/help/milk-customers)).

**Limits.** The rider can only hand over milk the round was loaded with ("Only N L left on the van", "This round did not carry that milk."). A weekdays schedule needs at least one weekday. The entry goes on the rider's own round unless the office assigns another rider. A rider can take an entry back with **Remove** only while it is waiting and the office has not corrected or decided it: "The office has this customer now. Ring them to change it." A cancelled round keeps its sign-ups, without milk or money. A rider **cannot** edit an existing customer's details or price, or add a customer directly to the books. If the shop's plan is full of customers, approval fails with the plan's message and the office sets the entry to a one-off sale or an existing customer.

**Offline.** A sign-up made on a round is kept on the phone and goes with the hand-over. A sign-up made with no round open is sent at once; with no signal it stays on the phone ("Not sent yet — saved on this phone, it goes to the office when there is signal") and goes by itself later.

## How does a rider install and sign in?

1. Install **Irsaal Rider** on the rider's Android phone from the link the office gives. If you have none, ask Irsaal support at [WhatsApp +92 345 6703860](https://wa.me/923456703860).
2. Open it. After a few welcome screens the sign-in screen asks **WHICH ROUND DO YOU WORK?** Choose **Milk Shop**.
3. Type the **Email** and **Password** from the **Riders** screen and press **Sign in**. The rider stays signed in until they sign out.
4. The account decides which round opens. If a milk shop rider chose another product, the app says "Your account is a milk shop — opening the milk round."

The app signs in with an **email and password**, not a PIN. The PIN tab is on the web sign-in screen. If the rider's login was made without a **Login Email**, the office must set one on the **Riders** screen, or the rider cannot sign in to the app. **Create a new account** on the sign-in screen is for business owners starting a trial; riders never use it. An administrator or manager who signs in here is handed to the web panel. Only a login with a rider profile (a manager who runs a route counts) gets the round.

If the shop's plan does not include the app, sign-in stops with "The Rider mobile app is not part of your :plan plan. Ask your office to upgrade." Nothing is lost; the rider can use the web **Rider Portal** meanwhile.

## What does the app ask for first?

The **What the app needs** screen asks for notifications, **Location (Required)** and nearby devices. Press **Allow all**. Location is required: the app only opens once location is allowed and the phone's location (GPS) is on, because doors are marked at the customer's door and the office's live map follows the rider. The phone's location and a fake-location app both matter: with a fake-location app on, marking a door is refused.

## What does the rider see each day?

- **Home** (headed with the shop's name, the rider's name and the date): the **TODAY** rounds as cards (**ISSUED**, **STOPS**, **DEMAND**, **HANDED IN**) with **Open round**, **Hand over now** or **Fix and hand over** (for a **Sent back** round, showing "Sent back: <reason>"). If the shop has not dispatched you, it says **No round yet** — "The shop has not issued you any milk today. Pull down to check again." A banner "1 round not handed over" (or "N rounds not handed over") appears for earlier days still open. **RECENT ROUNDS** lists the last rounds.
- The icons at the top: **My customers**, **My ledgers** and **Profile**.

## How does a rider work a round?

1. Open the round. The heading reads **Morning round** or **Evening round**, "N of M marked" and the litres issued. The counters are **Marked**, **Out**, **Back** and **Collected**.
2. Each customer is a card with their address, litres to hand over (for example "2 L", or "1 L goat + 2 L buffalo"), **OWES** (if they owe money), a **Call** button (unless the shop hides numbers) and door tools: **Go** (directions), **Location** (**Pin it**) and **Photo** (**Add photo**), when the shop uses customer maps.
3. Tap **Mark delivery & payment**. The sheet has **MILK** (**Delivered**, **Different**, **Not delivered** for each door), **PRODUCTS** (how many of each the door took), and **PAYMENT**. A weekly or monthly payer shows **On account** or **Took a payment**; a daily payer shows **Paid in full**, **Paid part** or **Not paid**. Enter the **Amount taken** and choose **Cash** or **Online**. Press **Save this door**.
4. If the amount is not the usual, choose a reason: **Asked for less today** / **Asked for more today**. For **Not delivered**: **Nobody home**, **Did not want milk**, **House / shop closed**, **Away / on leave** or **Other**.
5. A customer the office took off for the day appears under **REMOVED BY THE OFFICE** ("These customers asked for no milk today. Do not knock.").
6. Marking a door checks where the phone is against the customer's pinned door. If the office's rule is **Strict** and the rider is too far, the app says **Not at the door yet**. Walk to the door and try again. A customer whose door is not pinned can always be marked. See [Irsaal milk shop software: common problems and fixes](https://irsaalsystems.com/help/milk-troubleshooting).

When a door is marked and there is signal, the customer gets a WhatsApp message from the shop (**Delivery done**, **Delivery with payment** or **Delivery could not be made**), if those messages are on.

## How does a rider take a payment from someone not on the round?

Use **Add payment** on the round, or **Payment** on a customer in **My customers**. Choose **Who paid?**, enter the **Amount taken**, choose **Cash** or **Online** and press **Save payment**. It is kept on the round and handed over with it; **Remove this payment** takes it back. The customer's WhatsApp receipt goes at once if the shop sends one. The money is posted only when the office approves the round.

## How does a rider log an expense?

Open **Expenses** on the round: **Log an expense**, **Amount**, **What was it for** (a category), **Note** ("Petrol at Shell, puncture repair…"), **Paid cash** or **Paid online**, then **Add expense**. Once logged, only the office can change an expense. Expenses need the expenses add-on on the plan.

## How does a rider hand over the round?

1. Press **Hand over this round** (or **Hand over now** on Home). If any customers are not marked, the app lists them ("1 customer not marked") with **Go back** and **Mark as delivered**, which marks them all as their usual milk with nothing paid.
2. **Hand over** shows **The customers** (**Delivered as usual**, **Different amount**, **Not delivered**, **Milk back from customers**, **New customers**, **Products handed over**), **The milk** (litres **ISSUED**, **Delivered to customers**, **Came back**, **Spoiled (of what came back)**: enter only how much of the returned milk spoiled) and **The money** (payments taken, cash and online, **Other cash (not from a marked customer)**, **Cash in hand**, **Less cash expenses**, **Cash to hand over**).
3. Add **Anything the office should know**, then press **Submit for approval**. The message is "Morning round submitted. Waiting for admin approval." (or "Evening round ..."). The owner may get a WhatsApp message.

A round can be submitted once, until the office sends it back. A round left open from an earlier day can be handed over late (a banner and **My ledgers** show it).

## Does the milk app work offline?

Partly. Marks, payments and new-customer entries are saved on the phone as the rider works, so nothing is lost if the signal drops or the app is closed. **Submit for approval** sends everything in one go and needs signal: with none, the rider gets a "No signal" message and tries again when there is signal. Everything stays on the phone until it is sent. The milk app has no Bluetooth printer, no voice guide and no separate sync queue: those belong to the water and LPG rounds.

## What are My customers, My ledgers and Profile?

- **My customers**: every customer assigned to the rider, due today or not, with filters **All**, **Milk today**, **Payment due**, **No location**, **No photo** and a **Search name, area or phone** box. Each card shows balance, last payment, this week's and this month's billing, the door, and buttons **Payment**, **Pin location**, **Photo**, **Go**, and **Redeem points** when the shop lets riders redeem.
- **My ledgers**: every round with filters **All**, **Not handed over**, **Waiting**, **Approved**, **Sent back**, totals **Out**, **Back**, **Handed in**, and **Change dates**.
- **Profile**: the rider's name, number and vehicle, **Ring the shop**, **Language** (**English** / **اردو**) and **Sign out**. The round screens themselves are in English.

## What is the web Rider Portal?

A rider can open the milk panel in a phone browser, sign in with an email and password (or a PIN on the sign-in screen's PIN tab) and land on the **Rider Portal**: **My Ledger**, **View Route** (**Deliveries**, **Do Not Deliver**, **Directions**, **Update Pin / Photo**), and **Submit Ledger** (litres **Distributed**, **Still Sellable**, **Spoiled**, **Customers Who Took No Milk**, **Cash from Daily Customers**, **Monthly Customer Payments**, **Notes**, **Cash to Hand Over**), plus **Add Expense**. The portal hands over totals rather than door-by-door marks, cannot add a new customer and is open even when the shop's plan has no rider app.

## Frequently asked questions

### Can a rider add a new customer in the Irsaal Milk software?

Yes, in the Irsaal Rider app, if the administrator ticked **Settings → Modules → Rider → New Customer** (off by default). It is a request: the customer becomes real only when the office approves the rider's round (or approves the sign-up on **Customers → Added by Riders**). The web Rider Portal cannot add customers.

### Why can't my rider see the New customer button?

**New Customer** is off in **Settings → Modules → Rider**, the app is older than 2.13.0, the round is already handed over (a round-based entry needs an open round; the **Customers** screen still allows a sign-up only), or the phone has not refreshed. Pull down on Home after switching it on.

### Why can't my rider see customers?

The rider has no customers assigned (**Assigned Rider** on the customer), or the customers are inactive. Riders only see their own customers. Also check the rider has today's round dispatched.

### Can a rider change a customer's price or edit their details?

No. A rider can pin the door, add a photo, take a payment and redeem points if allowed. Prices and details are changed by the office.

### How does a rider log in to the Irsaal Rider app?

Choose **Milk Shop** under **WHICH ROUND DO YOU WORK?**, type the email and password from the **Riders** screen and press **Sign in**.

### Can two riders use one phone?

Each rider should use their own login: the round, cash and ledger are recorded on that rider. Sign out from **Profile** before handing the phone over.

### The app says "This app is not on your plan". What now?

The shop's plan does not include the rider mobile app. The office adds it under **My Account → Upgrade Plan**, then the rider tries again. Meanwhile use the web **Rider Portal**.

## Khulasa (Roman Urdu)

Rider "Irsaal Rider" app mein "Milk Shop" chun kar wahi email aur password dalta hai jo office ne "Riders" screen par banaya. Location dena zaroori hai. Round mein har customer par "Mark delivery & payment" dabakar litre aur payment likhein, phir "Hand over this round" aur "Submit for approval". Naya customer rider tab add kar sakta hai jab admin "Settings → Modules → Rider → New Customer" on kare (default off); woh customer tab tak asli nahi jab tak office round approve na kare, aur web Rider Portal se naya customer add nahi hota. Internet na ho to marks phone par mehfooz rehte hain, lekin "Submit for approval" ke liye signal chahiye.
