Setting up Irsaal Water Delivery Software takes about an hour, and the order matters. First answer the four setup screens: your business, your prices and the modules you run. Then do the five jobs on the dashboard's **Getting started** card, in this order: **Add your accounts**, **Add your areas and routes**, **Enter the bottles you already own**, **Add your riders**, **Add your customers**. Each one needs the one before it, and each ticks itself off once the work is actually saved.

## What does the software ask when I first sign in?

Right after sign-up, a water delivery account opens on the **WhatsApp** page, to connect the business number your customers will hear from. You can do that now or later; see [WhatsApp and SMS alerts in Irsaal water delivery software](https://irsaalsystems.com/help/water-whatsapp-alerts). Every other page then opens **Set up your account** — "Four questions, then five jobs. Ten minutes and you are trading." — until it is finished or skipped. The screens are:

1. **Your business** — **Business name** (required; it prints at the top of every invoice), **Phone**, **Email**, **City**, **NTN / tax number**, **Address**, **Logo** (PNG or JPG; it goes on invoices, receipts and the rider app) and **Invoice footer**.
2. **What you charge** — **Currency symbol**, **Price of one 19 Ltr refill** (the standard rate; a customer can be given their own price later), **Deposit per bottle** (the refundable security you hold against each bottle a customer keeps), **Warn me when stock drops below**, and **Take the deposit at the door**. Leave that last one off unless your riders really collect deposits; with it off, deposits are settled in the office and the rider is still told when a customer holds more bottles than their deposit covers.
3. **What you run** — switch off the parts of the product your business does not use. Nothing is deleted when a module is off, and you can change this any time under **Settings → Modules**.
4. **Ready** — the five jobs below.

Already know the product? **Skip setup** takes you straight to the dashboard; everything on these screens can be set later under **Settings**.

## What are the five jobs, in order?

The **Getting started** card on the dashboard lists them with a button for the next one. **Full guide** opens every step in detail.

1. **Add your accounts.** Open **Accounts** and press **Add Account**. Make one of type **Cash** called "Cash in Hand" for the office drawer, and one of type **Bank** for each bank account you take transfers into. Type the **Opening Balance** each holds today — every report counts from it. Leave **Rider Cash in Hand** alone if you see it: the software uses it for money still out with riders.
2. **Add your areas and routes.** Open **Areas & Routes**, add an **Area** first (the town or sector, such as "Model Town"), then a **Route** inside it named the way your riders already say it ("Block A Morning"). One route per round, not per street. The rider can be picked later.
3. **Enter the bottles you already own.** Open **19 Ltr Bottles** and press **Manual Adjust**. In the **Manual Adjustment** box, choose the **State**, type how many are there today in **Delta (+ / −)**, write "Opening stock" as the **Reason**, and press **Apply**. Do it once for **Filled in Warehouse** (count full bottles already loaded on the vans here too, because every delivery takes its bottles from this count), once for **Empty in Warehouse**, and once for **With Riders (uncleared)** only if riders are carrying empties they have not handed in yet. **Do not add bottles With Customers here.** Those are entered on each customer as **Bottles already held** in step 5 (or in the import), and each one adds itself to the With Customers count — entering them here as well would count them twice. After this, never adjust by hand again — buying, sending to the plant and delivering move the counters by themselves.
4. **Add your riders.** Open **System → Riders** and press **Add Rider**: **Name**, **Phone**, **Email (app login)** — it is a username and need not be a real inbox — and a **Password** of at least 6 characters. Tell the rider both; they type them into the Irsaal Rider app once. Then go back to **Areas & Routes** and set each route's **Assigned Rider**.
5. **Add your customers.** Open **Customers → Add Customer**. Name, phone and the full address with a landmark, the **Route** they are on (this is what puts them on a rider's screen), and — for somebody you already serve — their **Opening Balances**: money they owe you, the deposit you already hold and the bottles already at their place. After three or four by hand, bring the rest in with **Import Data** from a spreadsheet — see [Import customers from Excel into Irsaal water delivery software](https://irsaalsystems.com/help/water-import-data).

## What should I set up after the five jobs?

- **Prices per customer.** Under **Finance → Refill / Security Payments**, add a rate card for each price you charge (for example a commercial rate) and pick it on the customer's form under **Rate card**. See [Settings, prices and modules in Irsaal water delivery software](https://irsaalsystems.com/help/water-settings-and-modules).
- **Standing orders.** Customers who take water on a schedule get a subscription under **Orders → Subscriptions**, and the software books their orders for them. See [Subscriptions and payment plans in Irsaal water delivery software](https://irsaalsystems.com/help/water-subscriptions).
- **Staff logins.** Office staff get their own login and role under **System → Users & Roles**. See [Staff users, roles and permissions in Irsaal](https://irsaalsystems.com/help/staff-users-roles-permissions).
- **The rider app.** Install **Irsaal Rider** on each rider's Android phone and sign in with the email and password from step 4. See [Irsaal Rider app for water delivery riders: complete guide](https://irsaalsystems.com/help/water-rider-app).
- **WhatsApp alerts** to customers after each delivery and payment. See [WhatsApp and SMS alerts in Irsaal water delivery software](https://irsaalsystems.com/help/water-whatsapp-alerts).
- **Your website**, if you want to take orders online. See [Your water delivery website and online orders in Irsaal](https://irsaalsystems.com/help/water-store-front).
- **Receipt printing.** Under **Settings → Pricing & Printing**, choose **Thermal Receipt** (80 mm roll) or **A4 Invoice** and how many copies to print.

## How do I know setup is finished?

The **Getting started** card shows how many of the five jobs are done and disappears when they all are. You can hide it earlier with its **×** button, and open the steps again any time from **System → Getting Started**.

## Frequently asked questions

### In what order should I set up Irsaal water delivery software?

Business details and prices first, then accounts, areas and routes, the opening bottle count, riders, and customers last — because a customer needs a route and a rider to be delivered to.

### Can I bring my existing customers from a register or Excel?

Yes. Add a few by hand with **Add Customer → Existing customer** to see the fields, then use **System → Import Data** to upload the rest from an Excel or CSV sheet, including what they owe, the deposit you hold and the bottles they have.

### Where do I enter the bottles I already have?

Bottles in your warehouse and on the vans go in once on **19 Ltr Bottles → Manual Adjust**, as opening stock. Bottles at customers' homes and shops go on each customer as **Bottles already held** — not in Manual Adjust as well, or they are counted twice. After that, purchases, plant runs and deliveries move the counts by themselves.

### Do riders need their own email address?

No. The rider's **Email (app login)** is only a username for the app. It does not have to be a real inbox.

### Can I skip the setup screens?

Yes. **Skip setup** goes straight to the dashboard, and every value can be filled in later under **Settings**. The **Getting started** card stays on the dashboard until the five jobs are done.

## Khulasa (Roman Urdu)

Pehli dafa login par "Set up your account" mein chaar screens aati hain: business ki details, refill ki qeemat aur bottle ki security, aur kaun se modules chahiye. Phir dashboard par "Getting started" card ke paanch kaam isi tarteeb se karein: (1) Accounts mein Cash aur Bank account banayen, (2) Areas & Routes mein area aur route banayen, (3) 19 Ltr Bottles mein "Manual Adjust" se bharay bottles (godam aur gaariyon par) "Filled in Warehouse" mein aur khali bottles "Empty in Warehouse" mein darj karein — customers ke paas wale bottles yahan nahi, har customer ke saath "Bottles already held" mein likhein, warna do dafa ginay jayenge, (4) Riders mein rider ka naam, email aur password banayen, (5) Customers mein customer add karein, route ke saath. Purane customers Excel se "Import Data" ke zariye aa sakte hain.
