Import Data in Irsaal Milk Shop Software brings your products, stock, customers and suppliers in from an Excel or CSV file instead of typing them one at a time, and it is also where the administrator restores a backup file that the support team gives them. Open it from Import Data in the sidebar (below Purchase Returns). The page is headed Import Data: "Bring your products, stock, customers and suppliers from Excel or CSV. Download a template, replace the sample row, then review your file before importing." Import Data is open on every plan; it needs the View right on Import Data to open, the Add right on Import Data to upload, and the right on the data being imported (Add on Customers or Suppliers, Add on Products, Inventory & UOM for products, Stock In / Purchase Raw Material for stock).
How do I import my customers from Excel?
- Open Import Data. Under Download Templates press Excel (.xlsx) or CSV (.csv) on the Customers card. Each template has the exact column headings and a sample row (Excel templates also have an Instructions sheet).
- Replace the sample row with your customers. name and phone are required. customer_type is daily, weekly or monthly. milk_type is a milk code from Milk Types & Rates (the page lists this shop's codes, for example cow, buffalo, goat). Fill morning_qty, evening_qty and rate for that milk. A customer who takes more than one milk fills the columns for each:
cow_morning_qty,cow_evening_qty,cow_rate,buffalo_morning_qtyand so on. The template also has email, address, area, opening_balance (what they already owe you), rider_name and notes. - Back on Import Data, under Upload File choose Data Type = Customers, choose the file (Excel .xlsx or CSV, at most 5 MB and 5,000 rows; for Excel the first worksheet only; CSV as UTF-8 with comma, semicolon or tab separators) and press Validate and Preview.
- The Import Preview page shows the first 20 rows and validates all of them. If any row is wrong, nothing is imported and it lists each problem ("Row 7: …", the first 100 shown): correct the file and upload again with Choose Another File. If all rows pass it says "All N rows passed validation. Review the preview, then import. This preview expires in 20 minutes." Press Import N Rows.
- The message reads "Imported N rows successfully (Import #N)." Every import is listed under Import History (Import, Date, Type, File, Rows).
Duplicates are reported, existing balances are kept, and the same file cannot be imported twice ("This file was already imported as #N. No data will be added again."). Keep phone numbers and product codes formatted as Text in Excel so leading zeros survive, and paste formulas as values. Added a new kind of milk after downloading the template? Download the customers template again and its columns are in it.
How do I import products, stock and suppliers?
- Products: code, name and stock_unit are required. Unit names, codes or symbols must match Units of Measure (Products, inventory, recipes and production in Irsaal milk software). Opening quantity and sale price use the stock unit. Other columns are type, purchase_unit, sale_unit, sale_price, reorder_level, opening_qty, cost_price, location (warehouse or store), is_sellable and notes.
- Stock: use an existing unique product code, so import products first. code and quantity are required; unit, cost_price, location (warehouse or store) and notes are optional. Choose Stock Import Mode: Add quantities to current stock, or Set counted quantities (adds or removes the difference), which needs the Adjust Stock After a Count button permission.
- Suppliers: name is required; phone, email, address and opening_balance (the amount you already owe the supplier) are optional.
You only see the data types your role may import.
How do I restore a backup?
A backup is an Excel file (.xlsx) taken by the support team from a shop. It is not something the software sends you automatically. Only the shop administrator can restore one ("Only the shop administrator can restore a backup.").
- On Import Data, in Restore a backup, choose the Backup file (.xlsx …) and press Check the file. Nothing changes yet.
- The Restore a backup page ("File checked. Nothing has been changed yet.") shows the Business in the file, the Account ID (This account or A different account), Backup taken, and Records in the file with a table What comes back (Section, Records). It also lists anything Left out, because they do not belong to this kind of account. If the backup came from another account it warns you and says to continue only if the support team told you to.
- Type the shop's name to confirm ("Type … to confirm") and press Restore this backup (or Cancel and delete the uploaded file). Do not close the page while it says "Restoring — do not close this page…".
Restoring replaces what is in the shop now: anything added or changed after the backup was taken is removed. Logins are never deleted and passwords never change; a login the file brings back signs in after a password reset. A copy of the shop as it is right now is kept for 7 days, so the administrator can press Undo restore ("Undo the last restore. Puts the shop back exactly as it was on …") and type the shop's name to confirm.
Frequently asked questions
How do I add many customers to Irsaal milk software at once?
Use Import Data → Customers: download the template, fill one row per customer (name, phone, customer type, milk code, litres, rate), upload it with Validate and Preview, and press Import. See the steps above.
Why does the import say a row is wrong?
The preview names the row and the problem ("Row 7: …"). Common causes are a missing name or phone, a customer_type other than daily, weekly or monthly, a milk code not on Milk Types & Rates, a product unit that does not match Units of Measure, or a number that is not a number. Fix the file and upload it again. Nothing is imported until every row passes.
Why does it say the file was already imported?
The same file cannot be imported twice. Change it if you really mean to add different rows, or check Import History.
Can I import an opening balance for customers?
Yes: fill opening_balance on the customers file (positive means they owe you) and on the suppliers file (the amount you owe them).
Can I import my old riders or milk types?
No. Only Products, Stock, Customers and Suppliers can be imported. Add riders on Management → Riders and milk types on Admin → Milk Types & Rates. A customer's rider_name column must match the name of exactly one active rider that already exists.
I restored a backup by mistake. Can I go back?
Yes, for 7 days: Import Data → Undo restore puts the shop back exactly as it was just before the restore. Only the administrator can do it.
Can a manager restore a backup?
No, only the shop administrator.

"Import Data" se products, stock, customers aur suppliers Excel ya CSV se ek saath aa jate hain. Pehle template download karein ("Excel (.xlsx)" ya "CSV (.csv)"), sample row ki jagah apna data likhein (customers mein name aur phone zaroori hain, "customer_type" daily/weekly/monthly, "milk_type" milk ka code), phir "Validate and Preview" dabayen; agar sab rows theek hon to "Import N Rows" se import hota hai. Products pehle, stock baad mein import karein. Wahi file dobara import nahi hoti. Support team ki di hui backup file sirf administrator "Restore a backup" se wapis la sakta hai; restore mein baad ka data mit jata hai, aur 7 din tak "Undo restore" ka option milta hai.
