Irsaal Milk Shop Software can send WhatsApp messages to your customers, riders and suppliers from your own WhatsApp Business number, and can print counter receipts straight to a thermal printer. WhatsApp is set up by the administrator from the profile menu → WhatsApp. Receipt printing is set up on Admin → Settings → Thermal Receipt. Both are limited to the administrator role. This guide covers connecting WhatsApp, the 16 messages you can switch on, and printing.
How do I connect the shop's WhatsApp number?
- Open the profile menu at the top right and press WhatsApp (it shows Connected or Connect). The page is headed WhatsApp messages: "Message your customers, riders and suppliers from your own WhatsApp number." If it says "WhatsApp is not switched on for this platform yet." the platform's Meta setup is not finished: contact Irsaal support at WhatsApp +92 345 6703860.
- Press Connect with Meta. Meta handles the whole sign-in ("We never see your Facebook password"). You need access to your Meta business account and a number that is not in use on the WhatsApp Business mobile app.
- If Meta shares several numbers, choose one under Choose your sending number (Sending WhatsApp number, then Use this number).
- Verify messaging: from a different WhatsApp number you can reach, send "Hi" to the shop's number. Type that other number under Receiving WhatsApp number, press Send test code, then enter the 6-digit code and press Verify. Once it is verified the shop can send.
- The page then shows Number, Name on WhatsApp, Quality (Not rated yet at first) and Daily limit. If the quality rating drops ("Your quality rating has dropped.") send fewer messages, and only to people expecting them.
Send a test to another WhatsApp number lets you send a Connection test message ("The connection test needs the receiving phone to have sent Hi to your number in the last 24 hours. An approved message can be tested at any time."). Disconnect stops all messages at once ("Disconnect WhatsApp? Messages stop immediately."); message history is kept, and Reconnect with Meta starts again with the same number or another.
Which messages can I switch on?
Under Which messages to send each message has its own switch, and Send WhatsApp messages is the master switch ("Connect and verify a number above, then switch messages on."). The wording is fixed and approved by Meta; names, quantities and amounts are filled in automatically. Nothing is sent to a customer, rider or supplier who has no phone number, and a message is never sent twice for the same event. Press Save messages after changing switches.

The Owner's WhatsApp number ("Where the low stock alerts and "rider ledger submitted" messages go. Left empty, they go to the shop phone in Settings.") is set on the same page. Meta template status shows whether each message's template is approved; Irsaal sets them up on your WhatsApp account automatically while it is connected, and a message is only sent once its template is approved. How many messages can I send, and what do they cost?
The This month box shows the messages sent against your allowance ("Unlimited messages", or "N left this month"). When it is used up: "This month's allowance is used up. Messages are not being sent." Buy more messages opens the bundles. Messages are sold as monthly bundles, separate from the software plan. The bundles on sale today:
- Starter Messages — free, 10 messages a month. Enough to see it working on a real round.
- Round — PKR 2,000 a month, 400 messages a month. One round, texting every delivery and every payment.
- Route — PKR 3,500 a month, 700 messages a month. Several routes, a few hundred customers.
- City — PKR 8,500 a month, 1,800 messages a month. A whole city, and no counting.
Recent messages lists what was sent: Accepted means Meta took the message; Delivered and Read follow when Meta reports them.
How do I print receipts at the counter?
Open Admin → Settings → Thermal Receipt. Choose Print Mode:
- Print Agent 2.0 — straight to the thermal printer (Recommended): no print dialog and no A4 page; every receipt comes out of the counter printer as the sale is done. It needs the Print Agent running on the Windows PC the printer is connected to.
- Through the browser: the receipt opens in a new tab with the print dialog, sized to the paper width below.
To set up the agent:
- Press Download Print Agent 2.0 and unzip it on the Windows PC the receipt printer is connected to (USB, network or shared all work). Your server address and key are already inside the download: keep it to yourself.
- Double-click Start Print Agent. It lists every printer that PC can reach; type the number of your receipt printer.
- A test slip comes out and the settings page fills in the printer by itself. Leave the window open while the shop is open. To change the printer later, double-click Setup Printer in the same folder.
The page shows whether the agent is running. Test Print sends a test slip. Printer address and Port are filled in by the agent (a printer reached through Windows shows as "windows:" followed by its name); only type them for a network printer the agent did not find (for example 192.168.1.50). Other options: Print the receipt as soon as a sale is completed, Cut the paper after each receipt, Open the cash drawer on each sale, Characters per line (By paper width, 32, 42 or 48) and Make a new key (if the old key leaked).
For both modes set Paper Width (58mm or 80mm), Receipt Header ("Printed above the shop name"), Receipt Footer (starts as "Thank you! Fresh milk every day."), and tick Show logo on receipt and Show footer on receipt as you like. Press Save Settings. With Multi-Branch on, receipts from every branch print on the one agent printer: if each branch has its own printer, keep Print Mode on the browser for now.
Reports, ledgers and statements have their own header set under Settings → Reports & PDF (Show shop logo on PDF exports, Show shop address, Show phone, email and website, Accent Colour, Footer Note). Frequently asked questions
How do I connect WhatsApp to Irsaal milk software?
Open the profile menu → WhatsApp → Connect with Meta, choose your number, verify it with a test code from a second WhatsApp number, then switch on the messages you want under Which messages to send and press Save messages. Only the administrator can do this.
Why is my customer not getting the delivery message?
Check that Send WhatsApp messages and that particular message (Delivery done, Delivery with payment or Delivery could not be made) are switched on, that the customer has a phone number saved, that the message's template shows as approved under Meta template status, and that this month's allowance is not used up. The rider must also be using the Irsaal Rider app, because those three messages are sent when a door is marked in the app.
Can I send WhatsApp messages from my personal WhatsApp?
No. Messages are sent through the WhatsApp Business platform from the number you connect with Meta. The number must not be in use on the WhatsApp Business mobile app.
My receipt prints on A4 and opens a dialog. How do I print straight to the thermal printer?
Set Admin → Settings → Thermal Receipt → Print Mode to Print Agent 2.0, download the agent, run it on the PC the printer is connected to and pick your printer. See the steps above.
The printer prints but cuts off words.
Set Paper Width to match your paper (58mm or 80mm) and, if needed, Characters per line to 32, 42 or 48.
Who gets the "rider ledger submitted" alert?
The number under Owner's WhatsApp number on the WhatsApp page. If it is empty, the shop phone from Settings → Milk Shop Info.
