Employees in Irsaal Goods Transport Software is the company's staff file: their details, how they are paid (monthly, daily or hourly), the salary and advances you pay them, and the ledger of it all. It is under HR & Payroll → Employees (page Employees: "Manage your staff, salaries, and payments"). It is separate from Users, which is about logging in: somebody can be an employee without ever having a login (Users, roles and station permissions in Irsaal goods transport software). Employees, Attendance and the work log are the add-on "Employees, payroll & attendance" (Business and Professional); on a plan without it the menu items show a padlock. Daily attendance, holidays and fingerprints are in Attendance, holidays and fingerprint attendance in Irsaal goods transport.

On this screen: Employees

At the top are cards Total Employees, Active, Terminated and Monthly Salaries. The table All Employees shows Name, Position, Phone, Salary (for example "per month", or a rate per day or per hour), Status (Active, Inactive or Terminated) and Actions: Ledger, Edit, Terminate or Reactivate, delete, and for daily and hourly staff Clock In and Clock Out (a note says "Daily and hourly staff clock in from Attendance"). A fingerprint button appears when fingerprint attendance is on. Add Employee needs the Add right on Employees.

How do I add an employee, and what are the wage types?

  1. Press Add Employee. Fill in the Photo (optional), Name (required), Phone, Email, Address, Position (required) and Hire Date (required).
  2. Choose the Wage Type (required): Monthly Salary, Daily Wages or Hourly Wages. A monthly employee gets a Monthly Salary figure; a daily one a Rate Per Day; an hourly one a Rate Per Hour ("Please enter the per-day / per-hour rate." if missing). Daily and hourly staff clock in and out, and their earnings build up in their ledger from the hours they actually worked.
  3. Press the save button. The message is "Employee created successfully." Editing (Edit Employee, Update Employee) says "Employee updated successfully."

An employee who has any transaction cannot be deleted ("Cannot delete employee with existing transactions."); terminate them instead.

How does clocking in and out work for daily and hourly staff?

Clock In and Clock Out sit on each daily or hourly employee in the list and on their ledger under Work Log. Marking them Present on Attendance starts the paid shift and marking them Out ends it too. The ledger shows Days Worked, Hours Worked and Earned (All Time), and whether the person is Currently clocked in since a time. A missed shift can be added afterwards with + Add a past shift manually (an in time, an out time and a date). A shift that finishes after midnight belongs to the night it started: an Out time earlier than the In time counts as the next morning, so 10:00 PM to 03:00 AM is five hours. If nobody clocked someone out, the shift stays open instead of counting every hour since: close it with Close Shift and the time they really left. Admin → Maintenance → Shifts that were never clocked out can also repair old ones.

For example: an hourly loader at 250 per hour clocked in at 4 PM and out at 11 PM each day is seven hours a day. After six days his ledger reads Days Worked 6, Hours Worked 42 and Earned (All Time) 10,500.

How do I pay a salary or an advance?

Open the employee's Ledger (Employee Ledger, "Payment history for …"). It shows the Monthly Salary (or Daily Wage Rate / Hourly Wage Rate), Total Paid (All Time) and Remaining, with tabs Payments, Attendance and Work Log. Two buttons, Pay Salary and Give Advance, need the Pay Salary and Pay Advance button permissions.

  1. Press Pay Salary or Give Advance, and choose the Transaction Type: Salary Payment or Advance Payment.
  2. The window opens on what the employee is actually paid on. For monthly staff the Breakdown shows Advance Paid, Salary Already Paid and Remaining to Pay, and the amount is pre-filled with the remaining salary after advances. For daily and hourly staff it shows the days and hours worked this month, what they earned, and the whole sum being settled (earned, less advances and payments already made), so the Remaining to Pay can be checked.
  3. Under Deduct for absences ("Reduce the payable amount based on absent days") choose Auto (worked out from the attendance record) or Manual (type the Deduction Amount). A day is priced by the basis: one day of the monthly salary, a daily employee's day rate, or an hourly employee's own average day this month. For daily and hourly staff the form warns that they are already unpaid for a day they did not clock, so deducting charges them twice; the decision is yours. With Settings → Attendance → Deduct pay for late arrival and early leaving on, a Deduct for late arrival / early leaving option also appears (monthly staff only). Net Payable updates as you change it.
  4. Choose the Payment Method (Cash, Bank or Card), add a Note and save. The message is "Salary payment of … recorded successfully." The money is taken out of the chosen account. Without permission you see "You do not have permission to pay salaries." (or advances).

For example: monthly salary 45,000, an advance of 10,000 during the month, and Auto finding 2 absent days worth 3,000: Net Payable is 32,000, recorded as a salary payment of 32,000.

What happens when an employee leaves?

Press Terminate, choose a Reason (Resignation, Misconduct, Poor Performance, Redundancy / Layoff, End of Contract, Absconding, Retirement or Other), set the Termination Date and Notes, and Confirm Termination. They are marked inactive; their ledger stays with a banner showing the reason, the date and who did it. Reactivate Employee brings them back. Both need the Terminate / Reactivate button permission. Terminating an employee does not disable their login: if they had one, untick Active Account on their user as well.
