Reports in Irsaal water delivery software: which one answers what

The 17 reports in Irsaal water delivery software (revenue, recovery, bottles, riders and stock) and how to export them to PDF or Excel.

Irsaal Water Delivery Software Updated 6 min read Plain text (.md)

Irsaal Water Delivery Software has 17 reports under Insights → Reports, grouped as Money, Operations, Customers, Stock and People. Each one can be filtered by date and more, and exported to PDF, Excel or CSV with your letterhead (the company name, address, phone and logo from Settings → Company & Branding). An exported report is therefore a document you can send out, not a screenshot. Between them the reports answer the questions an owner asks: what came in, who still owes, where every bottle is, and how each rider did.

Which report answers which question?

Group Report What it shows
Money Revenue Report Refills against product sales, deposits taken, expenses paid and the profit left over, day by day.
Money Expenses Report Every expense in the period, grouped by category, month and the account it was paid from.
Money Transactions Report The statement for every account (cash, bank and wallet): what moved, why, and what it left behind, with how much of the money in was a customer's advance.
Money Security Payment Report Deposits taken and refunded, what is held for each customer, and where bottles out exceed the deposit covering them.
Operations Orders Report Every order in the period, billed, paid and outstanding, by route, rider and status.
Operations Deliveries Report Every delivery: bottles out, empties back, damaged, and what was invoiced against what was collected.
Operations Rider Performance Report Deliveries, bottles moved, empties recovered, cash collected and skips, per rider.
Operations Rider Ledger Report Each rider's daily hand-over: cash expected against cash handed, the shortfall, and the bottles that came back with it.
Customers Bottle Account Report Whose bottles are where: covered by a deposit, owned by the customer, or lent on trust.
Customers Customer Terminations Report Who stopped taking water each month and why, with the bottles, deposits and balances each one left behind.
Customers Customer Balances Report Who owes you and how much, and who has paid in advance and how much of it is left, by customer and by route. What is owed and what is held are never netted into one figure.
Stock Inventory / Stock Report What is on the shelf right now, what it is worth, and every movement that put it there.
Stock Product Sales & Stock Report Units sold and returned, revenue, cost, profit and margin per product, plus what is still on the shelf.
Stock Suppliers Report What was bought from and paid to each supplier, and what is still owed to them.
Stock Bottle Reconciliation Report Proof that every 19 Ltr bottle is accounted for: bought, written off, and where the rest are.
People Employees Report Each member of staff's wage basis, what they earned in the period and what was paid out.
People Attendance Report Who came in, when, how late, and what the lateness cost.

A report whose module is switched off is not listed: the Employees Report and Attendance Report need Employees & Attendance, Product Sales & Stock Report needs Products & Counter Sales, Security Payment Report needs Security Deposits, Bottle Account Report needs Customer Personal Bottles or Bottles Without a Deposit, and Customer Terminations Report needs Customer Termination. A report your plan does not include shows a padlock. Every report has a date range except the Customer Balances Report and the Bottle Reconciliation Report, which show the position right now.

How do I run and export a report?

  1. Open Insights → Reports and open the report you want.
  2. Set its filters, such as the date range, rider or route. The options depend on the report.
  3. Read it on screen, or use the export buttons for PDF, Excel or CSV. The same buttons are on each report's card on the Reports screen.

Exporting needs the Reports → Export to PDF / Excel / CSV permission. An administrator can tick it for a role under System → Users & Roles.

Which report should I look at every day and every month?

  • Every day: Rider Ledger, to approve hand-overs (see Rider Ledger: approving a rider's cash and empty bottles). Deliveries Report for the day, if a figure looks wrong.
  • Every week: Rider Performance Report, and Security Payment Report to spot customers holding more bottles than their deposit covers.
  • Every month: Revenue Report for profit, Expenses Report, Transactions Report for each bank statement, Bottle Reconciliation Report to prove the bottle count, and Customer Terminations Report to see why customers left.

Frequently asked questions

What reports does Irsaal water delivery software have?

Seventeen: Revenue, Expenses, Transactions, Security Payment, Orders, Deliveries, Rider Performance, Rider Ledger, Bottle Account, Customer Terminations, Customer Balances, Inventory / Stock, Product Sales & Stock, Suppliers, Bottle Reconciliation, Employees and Attendance.

Can I export reports to Excel?

Yes. Every report exports to PDF, Excel and CSV, with your company letterhead printed on the PDF and written at the top of the spreadsheet.

Which report shows profit?

The Revenue Report: refill and product revenue, deposits, expenses and the profit left over, day by day for the period you choose.

How do I see which customers owe money?

Open the Customer Balances Report: it lists every customer who owes and every customer who has paid in advance, with totals by route. The Balance column on Customers, the Unpaid and Partial filters on Invoices, and the Orders Report (what is outstanding by route and rider) show it too. A bill paid out of a customer's advance is settled, not outstanding: the Orders Report and Deliveries Report show it under From Advance.

Why can't I see the Reports menu?

Your role cannot view reports, or your plan does not include them (a padlock shows beside Reports). Ask an administrator, or see Irsaal pricing: plans for water and LPG delivery software.
