How Irsaal water delivery software works, step by step

How a water delivery business runs a day on Irsaal: orders, the rider app, bottles and deposits, payments, the daily hand-over and reports.

Irsaal Water Delivery Software Updated 7 min read Plain text (.md)

Irsaal Water Delivery Software, by Irsaal Software, runs a 19 litre bottled-water delivery business: the office works in a web browser and riders work in the Irsaal Rider app on an Android phone. Each day, orders are booked (by the office, by customers' standing subscriptions, online or by the rider). Riders deliver them, recording at every door how many full bottles went in, how many empties came back and what was paid. The software writes the invoice and moves the bottle and money counts. At the end of the day the rider hands the cash and empties over, and the office approves it. Every report is built from those records.

What does the software keep track of?

Four things that a paper register loses track of:

  • Bottles. Every 19 Ltr bottle you own is counted by where it is: Filled in Warehouse, Empty in Warehouse, At Refill Plant, With Customers and With Riders (uncleared). A delivery moves bottles from the warehouse to the customer, and collected empties come back through the rider.
  • Deposits. The refundable security you hold for each bottle a customer keeps, in a Security Wallet per customer. A customer's allowed holding is what their deposit covers.
  • What customers owe. Every invoice and payment goes on the customer's Account Ledger, so the balance on their card is always up to date.
  • Cash with riders. What a rider collects stays on their name ("Rider Cash in Hand") until the office approves their day in Rider Ledger.

How does a day work, step by step?

  1. The day's orders are ready. They come from four places:

    • Customers on a standing schedule. Orders → Subscriptions books their orders, overnight or when you press Generate Today's Orders or Generate Tomorrow's Orders.
    • The office. Orders → New Order, or Refill / Delivery → Book for a Later Day.
    • Your website's Online Orders, if the store front is switched on.
    • The rider, who can book a New Order or a Refill Order from the app.
  2. Riders start the round. In the Irsaal Rider app, the Route tab lists today's stops, and Schedule shows the coming days. The app keeps the whole round on the phone, so it works with no signal.

  3. At each door, the rider records the delivery. They enter:

    • 19L Delivered (full)
    • Empty Collected
    • Damaged Returned
    • any pets (packs) sold
    • the payment: Cash, Online or Credit

Then they press Save Refill & Print Invoice or Confirm Delivery. The invoice prints on a Bluetooth receipt printer or is shared with the customer. If the customer's door is pinned on the map, the rider must be standing at it to mark the delivery; see Irsaal water delivery software: common problems and fixes.

  4. Walk-in and phone refills are recorded too. In the office, open Refill / Delivery, pick the customer, enter the bottles and payment, and press Record Refill / Delivery. For a counter sale, leave Delivered By (Rider) on — Recorded at the counter (no rider) —.

  5. Money lands in the right place. Cash or online payment taken by a rider goes on that rider's name. Anything unpaid goes on the customer's balance, and the office can take it later with Add Payment on the customer's card.

  6. The rider hands the day over. In the app's Ledger tab, the rider enters the Cash handed (Rs.) and Empty bottles handed in, then presses Submit Ledger.

  7. The office approves it. In Finance → Rider Ledger, open the rider, check the day, and press Approve & Release. The cash moves into your cash and bank accounts, and the empties move into Empty in Warehouse. Any shortfall stays against the rider.

  8. Empties go for refilling. On 19 Ltr Bottles, Send to Plant turns empties back into filled stock. If your plant keeps bottles overnight, switch on Plant Return Tracking under Settings → Modules. Bottles then wait in At Plant until you press Receive Full.

  9. Reports show the result. Insights → Reports has 17 reports: revenue, recovery, deliveries, rider performance, bottle reconciliation and more. Each exports to PDF, Excel or CSV.

How do bottles and deposits work together?

A customer can take more bottles than their deposit covers. On an order booked in the office, the software then works out the security due at the Security per bottle rate and fills in Security Payment (auto, editable). At the door, the rider's bill takes the deposit only when Take security deposits at the door is switched on under Settings → Pricing & Printing. It is off by default: the rider is told the customer is over their deposit, and the office follows it up. A customer who returns bottles or leaves can be refunded from their wallet. A bottle returned broken is charged from the wallet as the damage penalty, which is the same figure as the deposit. Customers who supply their own bottles, or are lent bottles on trust, are recorded separately so that no deposit is asked for those. See 19 litre bottles and security deposits in Irsaal water software.

What happens when a customer does not pay at the door?

The rider chooses Credit, or takes part of the amount. The rest goes on the customer's Account Ledger and shows on their card as the balance. It is collected later, by the rider (Collect Payment in the app) or the office (Add Payment on the customer's card). Customers who pay weekly or monthly can be put on a Payment plan under Subscriptions, and whoever is using the software is reminded on the day a payment is due.

Can I use it without the rider app?

Yes. Every delivery can be recorded in the panel on Refill / Delivery, with the rider chosen in Delivered By (Rider). The rider app is included on every plan, with no charge per phone. Plans are compared in Irsaal pricing: plans for water and LPG delivery software.

Where do I start?

Follow Irsaal water delivery software setup checklist: the first day. It sets up the business in the order the software needs: your details and prices first, then accounts, routes, bottle stock, riders and finally customers.

Frequently asked questions

What is Irsaal water delivery software?

It is online software from Pakistan, made by Irsaal Software, for businesses that deliver 19 litre water bottles. It keeps customers, routes, riders, returnable bottles, security deposits, invoices, payments and reports in one place, with an Android app for riders.

Does the rider app work without internet?

Yes. The Irsaal Rider app keeps the whole round on the phone. Deliveries and payments made without signal are saved on the phone and sent to the office by themselves when the signal returns.

How does the software know how many bottles each customer has?

Every delivery adds the full bottles given and subtracts the empties collected. The customer's card shows the bottles they hold, how many their deposit covers, and any bottles of their own or lent without a deposit.

Who approves the cash a rider collects?

The office. The rider submits the day's ledger in the app, and an admin approves it in Rider Ledger. Until then the cash and empties stay on the rider's name.

Can customers order online?

Yes. Your store front website takes orders, and they arrive in Online Orders in the panel. See Your water delivery website and online orders in Irsaal.

Is there a free trial?

Yes. Every plan starts with a 14-day free trial, and no card is needed.
