Import customers from Excel into Irsaal LPG software

Bring a gas distributor's customers, routes, cylinder products, suppliers and staff in from an Excel or CSV sheet, checked row by row before saving.

Irsaal LPG Cylinder Delivery Software Updated 6 min read Plain text (.md)

System → Import Data in Irsaal LPG Cylinder Delivery Software brings your existing records in from an Excel (.xlsx) or CSV sheet: Existing Customers, Areas & Routes, Products, Suppliers and Employees. There are three steps. Download the format, fill it in, and upload it. The file is checked row by row, and you are shown exactly what will be added and what will be updated before anything is saved. Customers come in with their opening cylinders, deposits and balances, posted through the same ledgers the panel uses. Spreadsheet import is a plan add-on (on sale today with: Growth and Business); the Restore a backup box on the same screen is open on every plan.

How do I import my customers from Excel?

  1. Open System → Import Data and pick Existing Customers.

  2. Download the format with Excel format (.xlsx) or CSV format. Instructions explains each column.

  3. Fill in one row per customer. The columns are:

    • name (required), phone and type (residential or commercial; blank means residential)
    • address, area, route and rider
    • bottle_limit: how many LPG cylinders this customer may hold (blank means 2)
    • opening_bottles: how many of your LPG cylinders they hold right now
    • opening_security: the deposit you already hold against those cylinders
    • opening_balance: what they already owe you
    • own_bottles: cylinders of their own they have supplied to you (no deposit; owed back)
    • active (1 or 0, yes or no; blank means active) and notes

The column names still say "bottles" in the sheet, and they mean cylinders.

  4. Under Your filled-in file (.xlsx or .csv, up to 5 MB), choose the file and press Check file. A file can hold up to 5,000 rows; a bigger one is refused with a message to split it and import the pieces one after another.

  5. Read the check. Each row shows its Verdict, the Record and What will happen. Rows with a problem are listed and left out. You can import the rest now and fix those separately, or fix the file and check it again.

  6. Press Import … row(s).

An area and route named in the sheet are created for you if they do not exist yet. A rider is not: the rider column takes the name or email of an existing rider, so add riders under System → Riders first. A rider cell that matches nobody is ignored, and the check says so on that row.

What are the other four imports?

  • Areas & Routes: "The delivery map — do this one first and your customer sheet will match it." Columns: route (required), area (created if missing), city (used only when the area is created) and rider (an existing rider).
  • Products: "The catalogue you sell over the counter." Columns: name and price (required), sku (what a re-import matches on), category (for example LPG Accessories, Regulators & Valves), size, unit (piece, pack, carton, pet, bottle, litre, dozen or kg; blank means piece), cost_price, stock (booked as a stock count; blank leaves stock alone), low_stock_alert (blank means 10), description, active, and bottles_per_pet for the items in one bundle.
  • Suppliers: name (required), phone, email, address, opening_balance (what you already owe them), active, notes.
  • Employees: name (required), cnic, phone, position, monthly_salary, joining_date (YYYY-MM-DD), active (set 0 for somebody who has left) and notes. They come in as monthly-salary staff; to pay someone daily or hourly, change Paid on on their record. See Employees, attendance and salaries in Irsaal LPG software.

What will an import do, and what will it not do?

It will:

  • Add records that are not there, and update the ones that are. Records are matched on the phone number, SKU or CNIC, not on the row number, so re-importing a corrected file updates what went in instead of duplicating it.
  • Leave a field alone when its cell is blank, so a partial sheet tops up what you already have.
  • Post opening cylinders, deposits and balances through the same ledgers the panel uses, so the reconciliation still adds up. A customer's opening cylinders add themselves to the With Customers count, so do not enter them again on LPG Cylinders.
  • Roll the whole file back if any row fails while being written, so you never get half an import.

It will not:

  • Delete anything. A record missing from your file is left exactly as it is.
  • Create logins. Riders and staff users are still added under System.

Your file is held on the server for an hour so you do not have to upload it again to confirm ("That checked file has expired. Upload it again and confirm within the hour."). Before a large first import, take a backup: nothing is deleted, but a backup lets you undo a bad sheet.

Frequently asked questions

Can I import customers from Excel into Irsaal LPG software?

Yes. Open System → Import Data → Existing Customers, download the Excel format, fill it in, upload it and press Check file. Once the check looks right, press Import. Opening balances, deposits and cylinders come in with each customer.

What happens if I import the same file twice?

Nothing is doubled. Customers are matched on their phone number, so the second import updates the same records.

Some rows were rejected. What now?

The check says why for each row. Import the good rows now and fix the rest in the sheet, or fix everything and check the file again.

Can I import my riders?

No. Riders need app logins, so add them under System → Riders, before importing customers so the rider column finds them.

In what order should I import?

Areas & Routes first, then your riders by hand under System → Riders, then Existing Customers. Products, suppliers and employees can be imported at any time.

Is Import Data the same as restoring a backup?

No. The import cards bring in records from your own spreadsheet. The Restore a backup box on the same screen is for a backup file that Irsaal support gives you. See Activity Log, backup restore and Alerts in Irsaal LPG software.

The Import screen says importing is not part of my plan.

Spreadsheet import depends on the plan. Add customers by hand with Add Customer, or see Irsaal pricing: plans for water and LPG delivery software.

Khulasa (Roman Urdu)

Purane customers, routes, products, suppliers aur employees Excel ya CSV se "System → Import Data" ke zariye aa sakte hain. Format download karein, bharen, file upload karke "Check file" dabayen. Software har row check karke batata hai ke kya add hoga aur kya update, phir "Import" dabayen. Customer ka purana baqaya, security aur cylinders bhi saath aate hain. Wohi file dobara import karne se kuch double nahi hota, kyunke phone number se milaya jata hai. Ek file mein 5,000 rows tak. Sab se pehle "Areas & Routes" import karein, riders "System → Riders" mein haath se banayen (import nahi hote), phir customers.
