System → Import Data in Irsaal Water Delivery Software brings your existing records in from an Excel (.xlsx) or CSV sheet: Existing Customers, Areas & Routes, Products, Suppliers and Employees. There are three steps. Download the format, fill it in, and upload it. The file is checked row by row, and you are shown exactly what will be added and what will be updated before anything is saved. Customers come in with their opening bottles, deposits and balances, posted through the same ledgers the panel uses.
How do I import my customers from Excel?
- Open System → Import Data and pick Existing Customers.
- Download the format with Excel format (.xlsx) or CSV format. Instructions explains each column.
- Fill in one row per customer. The columns are:
- name, phone and type
- address, area, route and rider
- bottle limit and opening bottles
- opening security and opening balance
- own bottles, active and notes
- Under Your filled-in file (.xlsx or .csv, up to 5 MB), choose the file and press Check file. A file can hold up to 5,000 rows; a bigger one is refused with a message to split it and import the pieces one after another.
- Read the check. Each row shows its Verdict, the Record and What will happen. Rows with a problem are listed and left out. You can import the rest now and fix those separately, or fix the file and check it again.
- Press Import … row(s).
An area and route named in the sheet are created for you if they do not exist yet. A rider is not: the rider column takes the name or email of an existing rider, so add riders under System → Riders first. A rider cell that matches nobody is ignored, and the check says so on that row.
What will an import do, and what will it not do?
It will:
- Add records that are not there, and update the ones that are. Records are matched on the phone number, SKU or CNIC, not on the row number, so re-importing a corrected file updates what went in instead of duplicating it.
- Leave a field alone when its cell is blank, so a partial sheet tops up what you already have.
- Post opening bottles, deposits and balances through the same ledgers the panel uses, so the reconciliation still adds up. A customer's opening bottles add themselves to the With Customers count, so do not enter them again on 19 Ltr Bottles.
- Roll the whole file back if any row fails while being written, so you never get half an import.
It will not:
- Delete anything. A record missing from your file is left exactly as it is.
- Create logins. Employees are payroll records; riders and staff users are still added under System. Imported employees come in with a monthly salary (the monthly_salary column); to pay someone daily or hourly, open them under People → Employees and change Paid on. See Employees, attendance and salaries in Irsaal water software.
Your file is held on the server for an hour so you do not have to upload it again to confirm. After that, or once you have confirmed, it is deleted. Before a large first import, take a backup: nothing is deleted, but a backup lets you undo a bad sheet in a minute.
Frequently asked questions
Can I import customers from Excel into Irsaal?
Yes. Open System → Import Data → Existing Customers, download the Excel format, fill it in, upload it and press Check file. Once the check looks right, press Import. Opening balances, deposits and bottles come in with each customer.
What happens if I import the same file twice?
Nothing is doubled. Customers are matched on their phone number, so the second import updates the same records.
Some rows were rejected. What now?
The check says why for each row. Import the good rows now and fix the rest in the sheet, or fix everything and check the file again.
Can I import my riders?
No. Riders need app logins, so add them under System → Riders, before importing customers so the rider column finds them. Employee records (for payroll) can be imported.
Do I have to create routes before importing customers?
No. Areas and routes named in the customer sheet are created during the import if they do not exist.
The Import screen says importing is not part of my plan.
Spreadsheet import depends on the plan. Add customers by hand with Add Customer, or see Irsaal pricing: plans for water and LPG delivery software.
Is Import Data the same as restoring a backup?
No. The import cards bring in records from your own spreadsheet. The Restore a backup box on the same screen is for a backup file that Irsaal support gives you, and it is open on every plan. See Activity Log, backup restore and Alerts in Irsaal water software.
In what order should I import?
Areas & Routes first ("do this one first and your customer sheet will match it"), then your riders by hand under System → Riders, then Existing Customers. Products, suppliers and employees can be imported at any time.
Khulasa (Roman Urdu)
Purane customers, routes, products, suppliers aur employees Excel ya CSV se "System → Import Data" ke zariye aa sakte hain. Format download karein, bharen, file upload karke "Check file" dabayen. Software har row check karke batata hai ke kya add hoga aur kya update, phir "Import" dabayen. Customer ka purana baqaya, security aur bottles bhi saath aate hain. Wohi file dobara import karne se kuch double nahi hota, kyunke phone number se milaya jata hai. Riders import nahi hote, unhein "System → Riders" mein banayen.
